Acceptable Use Policy
The rules that keep mail from Stellomail trusted: no spam, phishing or malware, daily sending limits, and how we handle abuse reports and appeals.
Why this policy exists
This Acceptable Use Policy (“Policy”) sets out the rules that apply to everyone who uses the Stellomail email service, websites and applications (the “Service”) provided by Stellomail Μονοπρόσωπη Ι.Κ.Ε. (“Stellomail”, “we” or “us”). It forms part of our Terms of Service, and a breach of this Policy is a breach of those Terms.
This Policy applies to every account, including accounts on custom domains and team accounts on the Corinthian plan. Account holders and team administrators are responsible for the activity that takes place through the accounts and domains they control.
The examples in this Policy are not exhaustive. We may act against any use of the Service that, in our reasonable judgement, harms other people, the Service, or the reputation of our mail servers, even where it is not specifically described here.
No spam
You must not use the Service to send unsolicited bulk email, meaning messages sent to many recipients who have not given prior consent to receive them, whether commercial, political or otherwise. You must not send unsolicited commercial communications in breach of Article 11 of Greek Law 3471/2006, the ePrivacy Directive or equivalent laws in the recipient’s country.
You must not use purchased, rented, harvested or scraped address lists; send mail with false, misleading or forged headers, sender names or subject lines; use the Service to receive replies to spam sent from elsewhere; or advertise a Stellomail address in spam sent through any other service.
Repeated complaints from recipients, high bounce rates or listing of your sending activity on reputable block lists may be treated as evidence of a breach of this section.
Sending limits
To protect the Service and its deliverability, each account may send to a limited number of recipients per day. Doric accounts may send to up to 300 recipients per day. Ionic accounts may send to up to 1,000 recipients per day. Corinthian accounts may send to up to 2,000 recipients per person per day.
Each address in the To, Cc and Bcc fields counts as one recipient, and a message sent to the same address several times counts once for each time it is sent. Limits apply per account and may not be circumvented by spreading sending across multiple accounts, aliases or shared inboxes.
We may temporarily reduce the limits for an account that shows signs of compromise or abuse. If you have a legitimate need to send to more people, please contact support@stellomail.com before doing so.
Mailing lists
If you use the Service to send mail to a list, every recipient on that list must have opted in to receive those messages, and you must be able to demonstrate that consent on request.
Every message to a list must identify you clearly as the sender and include a working unsubscribe mechanism. Unsubscribe requests must be honoured promptly, and in any case within ten days, and you must not send further messages to a person who has unsubscribed. Messages to a list remain subject to the sending limits of your plan.
Fraud and impersonation
You must not use the Service for phishing, meaning attempts to obtain passwords, financial details or other sensitive information by deception, or for any other fraud, scam or deceptive practice.
You must not impersonate any person or organisation, including Stellomail and its staff, or falsely claim an affiliation with any person or organisation, in a way that is intended to or likely to mislead. You must not forge message headers or sender information, or use display names, addresses or domains designed to be confused with those of another person or organisation.
Malware and security
You must not use the Service to create, send, store or distribute viruses, worms, ransomware, spyware, trojans or any other malicious code, or links to such code.
You must not attempt to probe, scan or test the vulnerability of the Service or any related system or network; breach or circumvent any security, authentication or rate-limiting measure; access or attempt to access accounts or data that are not yours; interfere with or disrupt the Service, its servers or other users, including by denial-of-service attacks; or scrape, crawl or harvest data from the Service by automated means.
If you believe you have found a security vulnerability in the Service, please report it responsibly to abuse@stellomail.com and do not exploit or disclose it before we have had a reasonable opportunity to fix it.
Harmful content
You must not use the Service to harass, bully, stalk, threaten or intimidate any person; to incite or glorify violence; or to promote hatred or discrimination against any person or group on the basis of race, ethnic origin, nationality, religion, disability, sex, sexual orientation, gender identity or any similar characteristic.
You must not use the Service to send, store or distribute child sexual abuse material under any circumstances. We have zero tolerance for such material. Accounts involved will be closed immediately, and we will report the material and the relevant account information to the competent law enforcement authorities and other bodies as required or permitted by law.
You must not use the Service to share intimate images of a person without their consent, or to disclose another person’s private information in order to harass or endanger them.
Illegal and infringing content
You must not use the Service to send, store or distribute content, or to carry out or promote any activity, that is illegal under the laws of Greece, the European Union or the country in which you or your recipients are located, including content relating to terrorism, the sale of illegal goods or services, or money laundering.
You must not use the Service to infringe the intellectual property rights of others, including copyright, trade marks and trade secrets, for example by distributing pirated software, films, music or other works. We respond to valid notices of infringement in accordance with applicable law, including Regulation (EU) 2022/2065 (the Digital Services Act) where it applies.
Accounts and automation
You must not create accounts in bulk or by automated means, including through scripts, bots or services that create accounts on your behalf, and you must not create accounts in order to evade a suspension, a sending limit or any other restriction.
You must not sell, resell, rent, lease or otherwise transfer accounts or access to the Service to third parties, or offer the Service as part of a product of your own, without our prior written agreement. Corinthian administrators may create and manage accounts for members of their own organisation, which is not reselling.
You must provide accurate information when creating an account and keep your credentials secure. You are responsible for all activity that takes place through your account.
Custom domains
If you connect a custom domain to the Service, you must own or be authorised to use that domain, and you must publish accurate SPF, DKIM and DMARC records that honestly reflect the servers authorised to send mail for it.
You must not configure authentication records, forwarding or aliases in order to disguise the true origin of mail, to send on behalf of domains you do not control, or to evade our filtering or sending limits. Domain owners are responsible for all mail sent from addresses on their domain through the Service.
Enforcement and appeals
Where we reasonably believe this Policy has been breached, we will generally respond in proportion to the seriousness of the breach, in the following order: a warning; temporary sending limits; suspension of the account; and closure of the account. We will tell you the reasons for any restriction, as required by applicable law, unless doing so would be unlawful or would compromise an investigation or the safety of others.
For severe abuse, including child sexual abuse material, malware distribution, phishing, large-scale spam, threats to the safety of any person, or activity that endangers the Service or its other users, we may act immediately and without prior warning, including by suspending or closing the account and removing content.
If you believe we have acted in error, you may appeal by writing to abuse@stellomail.com within 30 days of being notified of our decision, explaining why you think the decision was wrong. A member of staff who was not involved in the original decision will review your appeal, and we will tell you the outcome. Where an account is closed, we will give you a reasonable opportunity to export your data unless the law or the nature of the abuse prevents it.
We may also report unlawful activity to the competent authorities and cooperate with lawful investigations, in accordance with our Privacy Policy.
Reporting abuse and contact
To report spam, phishing, malware or any other abuse sent from or involving a Stellomail address or a domain hosted on Stellomail, email abuse@stellomail.com. Please include the full headers of the message concerned, together with the message itself where possible, since headers allow us to trace its origin. Most mail apps offer an option called “Show original” or “View source” that displays them.
